Church Management Software for Parishes: What It Covers and What It Doesn’t

Church management software, often shortened to ChMS, is the shared system a parish uses to keep track of its people and the work they do together: who is serving on Sunday, who has joined, who is preparing to be received, who pledged for next year. ParishSignUp is church management software built around the parts of parish life that run on volunteers and clergy time — signup sheets, confession scheduling, hospitality rotations, visitor cards, and the calendar — with no ads and no per-volunteer fees. Parish Plus, an optional plan for one parish, adds membership forms, surveys, stewardship pledges, catechesis, and analytics.

What is church management software?

A church management system replaces the binder in the parish office, the spreadsheet on the treasurer’s laptop, and the clipboard in the narthex with one shared record. Products in the category combine some mix of a member directory, volunteer scheduling, event registration, contribution tracking, and reporting; some go further into accounting, online giving, child check-in, and website hosting. No parish needs all of it. The right tool covers the work your volunteers and clergy actually do every week without burying them in setup.

What ParishSignUp covers

Volunteer signup sheets for every ministry

Coffee hour, Trapeza, altar servers, cleaning crews, fundraisers, meal trains, event RSVPs, and Psalter vigils each have their own category, and Custom covers the rest. Sheets repeat weekly, biweekly, monthly, or on the nth weekday, so a season of Sundays is created in one pass. Parishioners sign up from a shared link — a sheet can even allow signup with just a name — and get reminders by email or Telegram.

Confession scheduling that respects the seal

Each parish gets one confession link with every upcoming date and every priest. A recurring schedule keeps times generated about two weeks ahead. Parishioners pick their confessor once and book in one tap. Only the parishioner and the assigned priest can see who booked a time; that rule is enforced in the database, so even parish admins cannot see it.

Groups, visitors, and the calendar

Hospitality groups rotate automatically across the Sundays of a recurring sheet. Visitors scan a QR code at the church door and leave a card so the priest knows who came. Everyone can subscribe to a private calendar link in Google, Apple, or Proton Calendar showing what they signed up for. The interface is available in 24 languages.

Parish Plus for the parish office

Membership forms collect households, adults and children. Surveys such as Time and Talents show who offered to help with each area. Stewardship pledges keep dollar amounts visible only to the treasurer. Catechesis tracks inquirers, catechumens, and the received, with class attendance and QR check-in. Analytics puts forms, surveys, and pledges on one page for admins and treasurers.

What ParishSignUp is not

Honest scope matters when you choose church software. ParishSignUp does not do accounting or fund ledgers, does not process online giving or card payments, does not run nursery or child check-in with name-tag printing, does not keep sacramental registers, and does not build or host your parish website. If your parish needs those, keep the tool you have for them and use ParishSignUp for volunteers, confession, formation, and the parish office forms. The two can run side by side.

Questions buyers ask about church management software

How much does ParishSignUp cost?

Volunteer signup sheets, confession scheduling, groups, visitor cards, and calendar subscriptions need no subscription and show no ads, with no per-volunteer fees. Parish Plus is an optional yearly subscription for one parish; the first month is free, and the price depends on the parish’s jurisdiction. Parish admins, treasurers, and priests see the exact amount in Parish settings → Plan after signing in.

Who owns our parish data?

Your parish does. The priest, parish admins, and treasurers can export everything at any time, on any plan, as a printable document and a complete JSON data file, so nothing is locked in if you change tools later. The export follows the app’s privacy rules: confession names only for the priest they belong to, pledge amounts only for the treasurer.

Which roles does it support?

Five parish roles: priest, admin, treasurer, coordinator, and member. Admins run the parish, treasurers are the only role that sees pledge amounts, priests see their own confession bookings, coordinators manage the sheets they create, and members sign up. Admins can also name catechists for Catechesis.

Which churches is it for?

It was built with Orthodox parish life in mind — Trapeza, fasting-aware menus, confession, Psalter vigils, catechumens — and it works for Catholic, Eastern Catholic, Oriental Orthodox, Anglican, Lutheran, Methodist, Baptist, and non-denominational churches. Parishes choose their jurisdiction or denomination when they are created, and Protestant churches see “Pastor” where the app would otherwise say “Priest”.

Can we use it alongside our current church management system?

Yes. ParishSignUp doesn’t require importing a member database before you start, so you can move volunteer scheduling and confession first and keep accounting or online giving where they are. The comparison pages for Planning Center, Breeze ChMS, and ChurchTrac explain where each tool fits.
