Church Membership Software That Families Fill In Themselves

Every parish has a membership list, and most are out of date somewhere: the family that moved, the new baby, the email address that bounces. Church membership software should make the list easier to keep current, not hand the secretary another database to maintain. In ParishSignUp the parish roster builds itself as people join through the parish QR code, and Parish Plus adds a membership form that each household fills in on its own phone — adults, children, and contact details — so the record comes from the family itself.

What church membership software keeps track of

At minimum: who belongs to the parish, how households fit together, and how to reach them. Better tools also record what people are willing to help with, and connect membership to stewardship without exposing private giving to everyone who can open the list. Above all, updating the record has to be easy enough that families actually do it.

How membership works in ParishSignUp

A roster that fills itself

People join by scanning the parish QR code or opening the invite link. Admins can require approval before someone is added, approve or reject requests, assign roles, and remove people who have left. The roster and roles are part of the free plan.

Household membership forms

With Parish Plus, the membership form starts with one adult and lets a family add more adults and children; the parish name, city, and state are already filled in. An admin or treasurer sends it to every member or to selected people, who are notified by email or Telegram. If a family’s last name is already on another membership, the form warns them before they submit.

Time and Talents surveys

A Time and Talents survey asks where each person will help. Analytics lists, for each area they checked, the people who signed up by the full name on their form — so when a ministry needs volunteers, the parish office knows exactly whom to ask.

Privacy where it counts

Membership answers are managed by admins and treasurers, not shown to every member. Priests, coordinators, and members can submit forms sent to them but don’t see other people’s answers. Pledge amounts from the financial-support form are stored apart and shown only to the treasurer.

Membership drives in practice

A membership record, not a public directory

ParishSignUp doesn’t publish a photo directory or a searchable phone book to the congregation. Members see signup sheets and their own information; household details stay with the parish office. Admins and treasurers can export the whole parish, including membership forms, as a printable document and a JSON file whenever they need it.

Running your first membership drive

  1. Have parishioners join through the invite QR code or link
  2. Subscribe to Parish Plus as an admin or treasurer (first month free)
  3. Review the membership form that comes with your parish
  4. Send it to a few households as a test, then to every member
  5. Choose up to three people to be notified of each submission
  6. Review the results under Memberships and Analytics

Membership software questions

Can we import our existing member spreadsheet?

There is no bulk import. Members join through the parish link and complete the membership form themselves, which replaces stale spreadsheet rows with details each family has confirmed.

Who can see membership information?

Parish admins and treasurers manage memberships. Priests, coordinators, and members can submit forms that were sent to them but don’t see other people’s answers. Pledge amounts are visible only to the treasurer.

Is membership included in the free plan?

The parish roster, roles, invite links, and join approvals are free. Household membership forms, surveys, stewardship, catechesis, and analytics are part of Parish Plus, a yearly per-parish subscription priced by jurisdiction, with the first month free.

Can we get our membership data out?

Yes. Your data stays yours: the priest, admins, and treasurers can export everything at any time as a printable document and a complete JSON file, on any plan.

Does it work for churches that aren’t Orthodox?

Yes. Membership forms work the same in any denomination, and Protestant churches see “Pastor” wherever the app would otherwise say “Priest”.
