Free Church Management Software: What You Get Without Paying

Plenty of church software is labelled free and turns out to mean a trial, a cap, or ads on the pages your volunteers see. ParishSignUp’s free plan has no subscription, no ads, and no fee per volunteer or per signup. It covers the work that fills a parish calendar: signup sheets, confession times, hospitality rotations, visitor cards, reminders, and calendar subscriptions. The volunteer tools are supported by voluntary donations, and a donation is never required. The one paid product, Parish Plus, is optional and limited to office tools such as memberships and stewardship.

What “free” should mean for church software

When you compare free church management software, check four things: whether the free tier expires, whether it caps members or volunteers, whether ads appear in front of parishioners, and whether core features are held back to push an upgrade. A free plan worth adopting lets a parish run real ministries without a budget line and is clear about exactly where the paid boundary sits — so the council isn’t surprised by an invoice after the volunteers are used to the tool.

Included on the free plan

Signup sheets for every ministry, on repeat

Create sheets for coffee hour, Trapeza, altar servers, cleaning, fundraisers, and events, then repeat them weekly, biweekly, monthly, or on the nth weekday. Hospitality groups can rotate automatically across the Sundays a recurring sheet creates. Potluck and Trapeza sheets ask what each person is bringing and can include an allergen check; meal trains generate one slot per day.

Guest signups from a link

Turn on “Allow signup without an account” and anyone with the link can claim a slot with just their name — useful for the bulletin, a parish text thread, or relatives helping with a funeral reception. Invite-only sheets stay off the parish dashboard so only people with the link find them. Admins can also add a parishioner who doesn’t use the app to a slot by name.

Confession scheduling at no cost

Confession is not a paid add-on. Each parish gets one confession link to print and share; a weekly schedule generates times about two weeks ahead; parishioners choose their confessor and book in one tap; and only the assigned priest sees who booked. The parish-wide confession note, priest order, and per-slot locations are all on the free plan.

Reminders, calendar, languages, and export

Confirmations and reminders arrive by email or Telegram at the lead time each person chooses. A private calendar link puts each person’s signups into Google, Apple, or Proton Calendar. The interface runs in 24 languages, from Greek and Romanian to Arabic and Malayalam. Exporting all of the parish’s data is free on every plan.

Where the free plan stops

Parish Plus is the only paid part. It is one yearly subscription per parish, with the first month free, and it adds household membership forms, surveys such as Time and Talents, stewardship pledges, catechesis attendance, and analytics. Signup sheets, confession, groups, visitor cards, and the calendar do not require it.

ParishSignUp is also not a free accounting package, giving platform, child check-in system, or website builder. If a list of free ChMS tools promises all of that in one product, read what its free tier really includes.

Questions about the free plan

Is there a catch to the free plan?

No ads, no trial period, and no fee per volunteer. Volunteer tools are supported by voluntary donations, and a donation is never required to use them. The only paid product is Parish Plus, which is optional and covers office tools like membership forms, stewardship pledges, and catechesis.

Do volunteers have to create accounts?

Not if you don’t want them to. Each sheet can allow signup without an account, so people claim a slot with their name from the link. Confession is the exception: parishioners sign in so that only they and the priest can see the booking.

Can we move from a spreadsheet or another free tool?

Yes. There is no import step for signup sheets: recreate a sheet once, set it to repeat, and share the new link. Starting with one ministry and adding others once volunteers are used to it keeps the switch painless.

What happens to our data if we stop using it?

Your data stays yours. The priest, parish admins, and treasurers can export everything at any time — a printable document and a complete JSON file — on the free plan as well as Parish Plus. Members can delete their own accounts from Profile Settings.

Is the free plan only for Orthodox parishes?

No. It works the same for Catholic, Eastern Catholic, Anglican, Lutheran, Baptist, and non-denominational churches. Orthodox-specific touches, such as fasting-aware Trapeza menus, stay out of the way if you don’t use them.
